WHEREAS, Article 4, Section 4.1, of the Bylaws states that the Board of Directors shall have all the powers and duties necessary and appropriate for the administration of the Association’s affairs and may “Exercise all the powers of the Association, except such as are, by the laws of Virginia, the Articles of Incorporation, the Declaration or these Bylaws, conferred upon or reserved to the Members”; and WHEREAS, the Board of Directors wishes to establish a policy on the use of personal information that Owners may provide; NOW, THEREFORE, BE IT RESOLVED THAT the following Privacy Policy be adopted by the Board of Directors: HOMEOWNERS ASSOCIATION PRIVACY POLICY Heritage Hunt HOA (HH) and its management contractors collect a limited amount of personal information that is necessary for efficient administration, such as communication, billing, and covenants administration. This information is not disclosed, sold, shared, or provided to parties outside the HOA and its agents. The information is only used for official purposes, except as required by law. HH will release personal information, if necessary, to comply with valid legal such as a search warrant, subpoena, or court order. From time to time the HOA may conduct surveys to solicit resident views of issues that are needed to insure that resident views are considered during policy formulation, approval, and implementation. Survey questions may ask for demographic information that is useful for an analysis of responses by various demographic groupings. Participation in resident surveys is voluntary, and personal information collected will be aggregated so that individual responses are not identifiable. Unless explicitly provided, personally identifiable information such as user name, e-mail address, street address, telephone number, etc., is not collected when visiting the HH website. The information that HH and its agents automatically gather, such as the numbers and frequency of visitors to our website is used only in the aggregate. The aggregate data helps us determine how much usage is experienced by various website locations. This information is useful to improve the website and make it more appealing and useful to residents.
